1)   Call Meeting to Order: 6:02 pm (Doug)

3)   Reading & Approval of Minutes from prior BOD Meeting

a.     December 12, 2023 – Did not meet Quorum last year; no business was conducted.

4)    Reports of Officers: President, Vice Presidents, and Treasurer and any Committee leads

a.    Treasurers Report: 

                                 i.    2024 Budget (Automatically approved with quorum not meet (51% required))

1.    No increases to HOA Dues

2.    HOA insurance is increasing

3.    Landscaping costs are increasing

4.    Fees/Costs are increasing, however the board plans to save for the increased fees by cutting back on various line items.

5.    A vote of confidence was held in lieu of meeting quorum.  No nays voiced from present homeowners.

5)   HOA Manager’s Report

a.    Accounts Receivable

                                 i.    One homeowner in arrears. 

b.    2024 Dues

                                 i.    Annual billings have been sent out.  Copies can be found online if needed.

c.    Reserve Study

                                  i.    Study is available online. The HOA board has elected to absorb increases in 2025 to keep dues at current rate.

6)   Old Business

a.    Blackberry bushes along Track D

                                 i.    Board is requesting quotes to provided continued maintenance in Tract D (up to 15’ from fence line).

b.    CC&R Amendment – Basketball Hoops

                                 i.    The Board is considering revisions to Article XII Section 20 – Gardens, Play Equipment, Sport Courts, Pools, Spas and Basketball Standards. 

                                ii.    The board received revised language from attorney and are currently reviewing.  Voting will occur tentatively in early 2025.

c.    Community Landscaping

                                 i.    HOA board hired a new landscaper in 2024 to mitigate cost increases.  Please notify the HOA if you have any comments on current performance.

                                ii.    Crows have been bad this year.  Homeowners should investigate options such as grub treatments to mitigate future damage; however, some solutions may take up to 5 years to become effective.

7)   New business 

a.    Elections for open HOA Board seats (Approved Unanimously)

                                 i.    Position 1 – Doug (term ends 2025)

                                ii.    Position 2 – Michael (term ends 2025)

                               iii.    Position 3 – Matt (term ends 2026)

                               iv.    Position 4 – Angela (term ends 2026)

                                v.    Position 5 – Joe (term ends 2025)

b.    New landscaping planned for 2025

                                 i.    New plants planned  along stepper slopes at entrance to neighborhood to prevent erosion in lieu of repeated mulching

                                ii.    Play chips in park are included in reserve study; however, the board will reevaluate need in 2025

                               iii.    Fence repairs as needed

c.    Motorized Vehicles in Tract D

                                 i.    Neighboring community has installed signs as a deterrent.  The Board will evaluate options in 2025.

8)   Open Forum

a.    HOA Cookie Exchange planned for this Friday (12/13)

b.    A new park is planned by the City of Auburn on 51st.

9)    Next BOD Meeting: TBD - Q4 2025
