1) Call Meeting to Order 6:06 PM (Doug)

2) Attendance and verification of quorum

3) Reading/Approval of Minutes from prior BOD meeting and Ratification of voting report for “in between meeting” votes

4) Reports of Officers: President, Vice Presidents, and Treasurer and any committee leads

Treasurer

o HOA Dues: 6 homes late, 2 homes opting out of late fees

o Late charges begin end of Jan, second delinquency notices going out

o Interest is also charged

o Financial report through Feb 28, 2022 shared (not reconciled w/ bank yet)

o Within budget

 

5) Property Manager’s Report

Pending Top Grade report on park grading and drainage

o Waiting to get on schedule but will get date; Property manager to follow-up

 

6) Old Business

Basketball standards

o Unable to ignore the CC&Rs with respect to basketball

o Should go ahead with second notices

Talk to legal about what we can delay and what we cannot

Delay until lawyer is consulted

o However, there isn’t a proper solution to store basketball hoops

Grant exception until CC&R changes are made and voted on by the neighborhood. 6 months acceptable?

Need to consult legal for a timeframe that is reasonable

o Vote on approving Eydie to discuss with lawyer for an hour on process to make CC&R changes and avoid fines:

4 in favor, 1 opposed. Motion passed

Board members to provide availability to attend meeting

 

Inspection frequency

o Monthly: November – February

o Bi-weekly: March – October

o Who: Board Members? Homeowners? 

Establish a set day and board member and homeowners can join; must have at least one board member present

Non-work hours; afternoons or evenings

Scheduled every 2nd and 4th Saturday at 1PM with board; meet at mailbox

o Vote on inspections for Saturdays; motion approved

o How do we make sure inspections are consistent if different people?

Board walk together on bi-weekly inspections to establish consistency

 

CCR Reviews

o Board can choose to not collect fines, however the fines are attached to the property and interest will stay/accumulate until the house changes hand

o Need 34 Yes votes to pay for the CC&R change; a non-vote is same as No

o Discussed severability clause

o Board has until end of month to go through CC&R for proposed changes

o Recommend: Start w/ survey monkey or something similar to get a good idea of how much support a change would be

Angela to put together a google doc for neighborhood survey with board recommended changes to CC&Rs

 

7) New business 

New Move-in welcome

o Brenda to set-up welcome plan and greeting in all

Newsletter

o Send out end of March

o Can we put digital newsletter on westridgeauburn.org

Provide link for CC&R survey

Allow registered owners only for CC&R survey

o Hand deliver color paper copies and also post a PDF

o Angela to design the newsletter but board to provide all text that goes into the newsletter by end of March

Delayed for a bit until we know as a board what standards we want to establish
