4) Reports of Officers: President, Vice Presidents, and Treasurer

  1. Review of Financials Packages/Invoice Billings, underspent to budget in almost every category, due to volunteer work and lower mgt. costs.
  2. Status of Accounts - Operating/Reserves Collections, improved over last month, transition being complete has helped. $37,900 collected in Feb $39,895. 9 accounts past due over $1K. Letters pending from TMT once loaded we will be moving to collections as previously voted.
5) Property Manager’s Report--VP and committee reports
  1. ACC-4 ACC applications in March, one passed, one failed and one failed but appealed and passed with modification. One more incomplete application still collecting neighbor sigs. Bark conversation, bark is bark. No regulation on color or style. 
  2. Compliance-
    • software training update--Amanda is online with Vantaca app. Not working right on phone. Ipad works. Immediate emails go out on violations if we have email then a printed letter is mailed. Meeting with team to try it on another phone. Setting up a schedule. Two week interval half at a time. 
    • Outstanding issues--White rock and shelves being dumped, turf, structure in alley, cars stored on driveways. Spring issues. 
  3. Community Outreach--
    • Newsletter emailed to board this morning--approved? 
    • Egg hunt huge success (35 plus)--TY to Marlene, Kelly and her brother-in-law, Nicole and Stacy for coordinating and executing. May want to get a bunny suit
    • Getting volunteers is difficult
    • Sip and shop--cancelled, no volunteers
    • Memorial day registered us for letter writing campaign to active duty members and front line services in the field
    • Registered for Nat'l Night Out
    • Tenant info--will follow up with TMT on getting a tenant list to provide them info
    • Welcome committee--TMT discussion, we got an email notification unexpectedly Donella is putting together a packet for them. 
  4. Landscaping and Maintenance-
    • Tennis court fence--vote tonight on bids
    • Graffiti on wall on 124th again, suggest doing a community art project
    • Moss treatment in lawns--
    • White gravel and shelves outside owner fence needs to be cleaned up still
    • blackberry clearing--have two bids to vote tonight
    • scheduling some April/May work days
    • Don to submit paint receipts and chain approx. $70 for reimbursement Motion made by Donella, 2nd by Michael, passed unanimously
  5. Security-
    • LPR update--up and running, all but 1 director now online, Chase to follow up with Kent PD on referring over the info as we get plate associated with crimes. 
    • F-Dub security update--cars at night get tagged on 2nd round, huge impact including parking, nuisances, transient removal, open garage doors. Suggestion to ask them about fireworks patrol coverage on July 4th. 
  6. TMT report: none
6) Old Business
  • Legal demand for assets from J and M
  • Main park drainage issues discussed--will need bids to address the path flooding by spring--refer to TMT for a solution
  • Entrance tree disposition (replace/fill) on hold until spring (moot due to cameral placement), discussion of additional missing trees, turn in any questionable areas for review. 
  • Park rules sign and changes. Include times open, overnight vs park use parking. No update, next meeting.
  • Audits-Chad Partridge, owner and CPA, volunteered to review drafts--status on obtaining books (Eydie) Recommendation to consult attorney to see if tits ok to have an owner/cpa review for us so we can feel comfortable signing. Motion made by Marlene, 2nd by Amanda and Brian, passed unanimously.
  • Official HOA FB group, new rules/code of conduct in process status
  • Horseshoe pit pending removal, Michael to get bids.
  • Lock on tennis court and dog park discussion--postcard to be sent by TMT by April 1 at $313, approved in issue manager
  • (Adjourned to Exec session for discussion of legal matters and returned) no votes taken
  • Tracts still in Kent 160 name, pending quit claim, tax affidavit pending
  • Tenant mailer tabled
  • Pickle ball court bids Basketball hoop status at little park (pending pickle ball bid decision) tabled until we know what lines are put on tennis court by Oakpointe.
  • Hopscotch options and long term plan (Brian) Got bids $1400 and $1250 (not including cover up of old lines for 1 hopscotch and one 4 square (Brian) vs $910 for template plus paint then have to do the labor.  Will get the final bids for next meeting.
  • Tennis court striping by Oakpointe (see above)
  • Back entrance no parking zone has been installed by city of Kent
  • Hardy storage shed review tabled (Don)
  • Annexation update, Kent says they are continuing to work on it even though the townhome amendment was withdrawn by Oakpointe (Eydie)
  • Michael and Brian to be added to the bank accounts to get a debit card for these expenses so we don't have to out out our own money up front going forward.
  • purchase approved last meeting for more dogipot bags per last invoice/vendor, or other source if Eydie finds a better price status--still have a case at VSP and we got a spare key from them for us to keep, will let us know when they are depleted

7) New business 

  • Rules rewrite for park parking for park use only and to include hydrants and any other changes tabled. 
  • Street sign missing at 299th and 118th--vote on bids $171 DIY or $387 installed, Motion made by Donella for full install, 2nd by Louis and Marlen, passed unanimously
  • Gazebo table repairs--review of bids, two still pending
  • Gazebo future painting project discussion beginning on summer project to refurb paint on gazebo form tagging and other vandelism.
  • Reimbursement for Eydie for $33.02 for 12 padlocks for bollards, another disc lock for tennis court $16.17, Don for chain etc. Motion made by Brian to approve this and any other reimbursements up to $50 for incidentals paid for by volunteers to be reimbursed as long as we have proof it was used for community, 2nd by Donella, passed unanimously.
  • Vote passed to upgrade AmFam policy to fusion to save $2175 per year, more coverage for same deductible and lower premium, have notified agent, completed
  • Vote for blackberry debris pick up from last volunteer work day. We had volunteers to haul but not load so got bids, Tim's approx $150-225 depending on 2 to 3 yards vs VPS at $300 (time and mat estimate) Motion made by Donella to go with Tim's bid, 2nd by Marlene, passed unanimously. Michael to notify vendor to please proceed.
